Privacy notice

Version 1.1, effective 14 October 2026

 This notice explains what personal information we collect when you use our website or book a journey, why we need it, who we share it with, how long we keep it and what your rights are.

1. Who we are

Modenlink Travel Ltd (company number 16185265), Office 20506, 182–184 High Street North, East Ham, London E6 2JA, is the "controller" of your personal information.

For any question about your personal information, email info@modenlinktravelltd.com or call +44 7520 654964.

2. What we collect

  • Booking details: your name, phone number, email address, pickup and drop-off addresses, extra stops, date and time, flight, train or ship details, number of passengers and luggage, passenger names if you book for others, and any notes you give us.
  • Needs you tell us about: for example a wheelchair, an assistance dog or a child seat. Some of this can be information about health. We use it only to arrange a suitable journey.
  • Payments: how much you paid, when and how (cash, card or bank transfer). Card payments are handled by the card machine provider; we do not see or keep your full card number.
  • Messages: emails, enquiries, complaints and notes of phone calls with us.
  • Your account: if you create one, your login details and saved places.
  • Website use: pages visited and how you found our site. Analytics and advertising cookies are only used if you agree (see our Cookie policy).

3. Why we use it and our legal reasons

  • To provide your journey — quoting, confirming, dispatching a driver, contacting you about the booking, taking payment and sending receipts. Legal reason: to perform our contract with you.
  • To meet our legal duties — as a TfL-licensed operator we must keep records of every booking and of complaints and lost property, and we must keep financial records for tax. Legal reason: legal obligation.
  • Information about health or disability — only to arrange a suitable vehicle and assistance. Legal reason: your explicit consent, which you give by telling us.
  • To run and improve our service — handling complaints, preventing fraud and misuse, keeping our systems secure, and understanding how our website is used. Legal reason: our legitimate interests, balanced against your rights.
  • Marketing — we only send marketing messages if you have agreed. You can unsubscribe at any time using the link in the message or by contacting us.

4. Who we share it with

  • Your driver — the details needed to carry out your journey (passenger name, pickup details and, close to the journey time, a contact number).
  • Transport for London (TfL) — booking and other records when TfL asks for them as our licensing authority, and the police or other authorities when the law requires it.
  • Service providers who process information for us under contract: our server host (Hostinger, servers in the United Kingdom), email delivery (Google), address search and route planning (OpenStreetMap-based services), and, only with your consent, analytics and advertising (Google, Meta).
  • Professional advisers such as accountants and lawyers, and insurers when needed for a claim.

We never sell your personal information.

5. Transfers outside the UK

Some service providers (for example Google and Meta) may process information outside the UK, including in the United States. When this happens, we rely on the protections the law requires, such as the UK's adequacy regulations or approved contract terms.

6. How long we keep it

  • Bookings and payment records: 6 years after your last journey (tax and licensing rules). After that, your name and contact details are removed and only anonymous figures remain.
  • Enquiries and unfinished quotes: 12 months.
  • Website analytics: 26 months.
  • Records of complaints and lost property: as long as needed to deal with them and as long as our licensing rules require.

7. Your rights

You have the right to:

  • ask for a copy of your personal information;
  • ask us to correct information that is wrong;
  • ask us to delete your information (we may need to keep some records by law);
  • ask us to restrict how we use it, or object to how we use it;
  • ask for information you gave us in a format you can take elsewhere;
  • withdraw your consent at any time, where we rely on consent.

To make a request, contact us using the details above. We will reply within one month. There is normally no charge.

8. Keeping it safe

Our systems use encrypted connections, sensitive details are encrypted when stored, and staff can only see what they need for their role. Drivers see a passenger's contact details only for a limited time around the journey.

9. Complaints

If you are unhappy with how we have used your information, please contact us and complain about it.

10. Changes

We will update this notice when our practices change. The date at the top shows when it last changed.

We use essential cookies to make the site work. With your permission we'd also like to use analytics cookies to understand how the site is used, and advertising cookies to measure our ads. You can change your mind at any time. Read our cookie policy
